Job Summary:
Responsible for administrative and clerical support for a Division Manager and Division employees. The position requires well developed administrative and organizational skills, with proficient computer software skills.
Essential Duties and Responsibilities:
Includes all or some of the following / Other duties may be assigned:
  • Types correspondence, drafts letters and memos for the Division Manager and department personnel

  • Compiles reports and/or departmental presentations

  • Types contracts,specifications, proposals and/or invoices as required

  • Organizes and maintains file systems, files correspondence, flat files and/or other records

  • Makes copies of correspondence or other printed materials as required

  • Prepares outgoing mail and correspondence, including e-mail and faxes

  • Prepares departmental resumes and write-ups according to corporate specifications

  • Supports Receptionist area on a rotating basis for breaks, lunches and days off
Language:
Ability to read and comprehend simple instructions, short correspondence and memos. Ability to effectively present information in one-on-one and small group situations to clients and other employees of the organization.
Mathematical:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent.
Reasoning:
Ability to apply common sense and understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Education/
Experience:
Associate’s degree with a Business or Administrative concentration from a technical school or college and two years administrative experience or the equivalent combination of education and experience.  Proficiency in Word and/or Excel required.
Anticipated Working Conditions:
Professional office environment. Work requires heavy utilization of computer and other office equipment.
