Responsible for facilitating efficiencies and providing company-wide coordination for and direction to the Administrative Support Group of the firm. Insures that the Administrative Group of the firm provides timely and high quality service to the business units of the firm. Working with firm wide Administrative Group coordinates and schedules work load between various business groups and offices. Provides administrative support on a regular basis to the Marketing Group of the firm and other Groups as needed.
Essential Duties and Responsibilities:

Oversees daily activities of Administrative Staff, which includes assessing office needs and working with other staff members in developing and recommending solutions to issues.
Responsible for implementing Borton-Lawson systems, processes, protocols and policies for various office procedures.
Supervises, trains and delegates work activities and reviews work of administrative staff.
Provides administrative support to the Marketing Group and other Corporate Groups as necessary.
Composes/prepares and edits correspondence, reports and memoranda, including confidential correspondence.
Participates in the selection and hiring of Administrative Support staff at all locations of the firm.
Responsible for identifying training needs of the administrative staff and assisting with training where appropriate.
Responsible for providing performance feedback and career development guidance to the Administrative Staff, with input from staff members being supported by the Administrative Assistant.
Responsible for working with production staff in balancing work loads of the Administrative Assistants in order to efficiently support production requirements.
In coordination with production staff and administrative staff develops and manages work schedules necessary to accomplish production needs.
Acts as liaison between various office Administrative support staff in scheduling and organizing work.
Works with staff members in addressing and solving interpersonal issues impacting the work place.
Language:
Ability to read and analyze data such as financial reports and technical data. Ability to respond address inquiries or concerns from Administrative Staff Members and Production Staff. Ability to prepare reports, business correspondence and procedure manuals. Ability to effectively organize and schedule work of staff members. Strong skills utilizing various computer applications required of Administrative Staff.
Mathematical:
Ability to utilize basic mathematical concepts such as addition, subtraction, multiplication and division. Ability to apply fractions, percentages, and ratios in practical situations.
Reasoning:
Ability to define problems, collect data, identify facts, and develop conclusions and solutions to issues. Ability to address problems and issues involving somewhat complex issues relating to work requirements and interpersonal relationships.
Education/
Experience
:
Associates Degree in Business or Office Management. or equivalent educational background with 5 - 7 years office experience working in a fast paced business environment. Prior experience coordinating and managing the work activities of support staff members is required. Proven capability negotiating controversial issues with staff members. Strong interpersonal and people management skills. Must possess excellent computer skills. Prior experience training and developing staff skills is preferred. Experience organizing and scheduling work and staff is preferred.
Anticipated Working Conditions:
Will perform duties within an office environment primarily. Work requires heavy computer skills and regular interaction with all levels of staff.
